Position Summary
Relive Health Wellington is seeking an experienced, highly organized, and patient-focused Administrative Back Office Medical Assistant / Clinical Coordinator to join our growing team.
This is a non-hands-on, administrative back-office Medical Assistant position with expanded patient care coordination and operational responsibilities. The role has a strong focus on patient communication, prescription and pharmacy workflows, medication management, scheduling, follow-up, and the behind-the-scenes coordination necessary to keep patient care and clinic operations running smoothly.
This role works closely with our Nurse Practitioner and leadership team to coordinate care for patients receiving Hormone Replacement Therapy (HRT), Medical Weight Loss (MWL), peptide therapies, IV therapy, and concierge wellness services.
The ideal candidate is proactive, detail-oriented, compassionate, highly accountable, and comfortable independently managing multiple patient and operational responsibilities in a fast-paced environment.
While this is not a formal management position, the Administrative Back Office Medical Assistant / Clinical Coordinator plays an important role in supporting daily clinic workflow and maintaining Relive's patient care and operational standards.
Key Responsibilities
- Provide administrative Medical Assistant support and coordinate patient care workflows.
- Assist the Nurse Practitioner with patient coordination, documentation, education, and follow-up for HRT, Medical Weight Loss, peptide therapies, IV services, and wellness programs.
- Coordinate prescriptions, medication orders, refill requests, and pharmacy communication under provider direction.
- Complete patient check-ins, treatment follow-ups, refill coordination, and ongoing patient communication.
- Monitor patient communications and appropriately escalate clinical questions, symptoms, side effects, or concerns to the Nurse Practitioner.
- Manage medication and peptide inventory, including ordering, tracking, organization, expiration monitoring, and weekly inventory reporting.
- Coordinate medication pickups, shipments, pharmacy deliveries, and prescription-related patient communication.
- Manage patient scheduling, provider coordination, and concierge wellness services.
- Respond to patient messages and help ensure timely and professional communication throughout the patient's treatment journey.
- Assist with patient concerns and help provide an exceptional patient experience.
- Provide front desk and administrative support when needed to maintain efficient clinic operations.
- Discuss treatment pricing, memberships, payment options, and available wellness programs with patients.
- Support patient retention, membership growth, and appropriate service recommendations.
- Assist with sales, membership, patient conversion, and operational reporting.
- Help maintain clinic organization and facilitate effective communication between patients, providers, staff, pharmacies, and leadership.
- Help support clinic workflow, patient coordination, and team operations during provider or key staff absences, while appropriately escalating clinical matters requiring licensed-provider involvement.

Qualifications

Medical Assistant certification/credential required
- Prior Medical Assistant or medical back-office experience strongly preferred
- Experience in medical administration, patient coordination, prescription/refill workflows, or care coordination preferred
- Experience with HRT, Medical Weight Loss, peptides, wellness, aesthetics, or medical spa services is a plus
- Strong patient communication and relationship-building skills
- Excellent organizational and multitasking abilities
- Strong computer and administrative skills
- Experience with EMR, CRM, prescription, or patient communication systems preferred
- Strong attention to detail and follow-through
Schedule
This is a full-time, in-person position at Relive Health Wellington.
Schedule flexibility is required based on clinic and patient needs, including availability to work up to approximately two Saturdays per month.
Additional flexibility may occasionally be needed during high-volume periods, special promotions, events, or staffing needs.
Compensation
$23–$27 per hour, based on experience and qualifications.
Following successful completion of the first 90 days of employment, the employee will become eligible for a performance-based bonus program.
Bonus opportunities will be based on established performance goals, which may include individual performance, patient experience and retention, operational reliability, membership growth, and overall clinic performance.
Performance bonuses are separate from base compensation and are subject to the terms and eligibility requirements of the applicable bonus program.
